DNA Recruit are working with a leading independent financial media group, whose global offices include New York, Melbourne and Hong Kong, delivering critical market intelligence running global events which enable their clients gain unique insights and make important business connections.

The Events Coordinator will be responsible for the delivering the logistic requirements for an existing portfolio of conferences, and each event consisting of up to 1K attendees, up to 40 sponsors and exhibitors, and around 100 speakers, and the Events Coordinator will ensure that personal contact between organisations as well as our client's internal and external contacts. You will assist the Head of Logistics with the sourcing of venues including negotiation and contracting and provide them with regular feedback and updates on event progress and the role will involve hybrid working (2-3 days in the office) and travelling will be required to UK and international events.

As Events Coordinator your role will involve being responsible for:

• Speaker management: liaise with all speakers, ensuring they are registered on the CRM system, updating their information on the website
• Work closely with the Production team on the planning of all conferences
• Sponsorship management: Liaise with high level sponsoring organisations to ensure their sponsorship contracts are fulfilled
• Liaise/Support the Customer Services Team in London to ensure the delegate registration process for each event is accurate and up to date
• Set up conference calls for panel participants
• Co-ordinating travel and shipments to and from events globally
• Use the company relationship management (CRM) system to compile, maintain and use accurate speaker and sponsor records
• Liaise closely with the accounts department to ensure weekly processing of invoices and accurate post-conference breakdown of delegate numbers and revenues
• Manage event budgets - recording costs and ensuring they are within budget
• On-site management of event before and during conference; dealing with 5* venues and managing contract staff
• Manage delivery of post-conference material to delegates and sponsors. Updates to delegate business cards into CRM system
